Saying yes to one more cake feels harmless until three big orders land on the same Saturday. Overbooking is the most common way small bakeries burn out, and it usually starts with not knowing the real weekly limit. Time per cake is easy to picture; the quoting, messaging, invoicing and shopping around each order is what quietly eats the schedule.

This planner takes the hours you can give to cakes each week, holds back a buffer for the unexpected, and divides what is left by the total time an average order needs, hands-on time plus admin minutes. The result is a whole number of cakes per week, the revenue that supports at your average price, and how many of those hours go to admin rather than cake. Treat it as a capacity ceiling, not a sales forecast.

How to use this tool

  1. Enter the hours per week you can honestly give to cake work, then the buffer percentage you want to keep free.
  2. Estimate the hands-on hours for an average order and the admin minutes each order takes from first message to pickup.
  3. Add your average cake price and working weeks per year to see your weekly ceiling, the revenue it supports and how much of your week is admin.

What the math assumes

  • Every order is treated as an average cake; a three-tier wedding cake and a smash cake both count as one order at the hours you enter.
  • The buffer percentage is removed from your available hours before anything is scheduled, and the default of 15 percent is only a starting point.
  • Admin minutes cover quoting, messages, invoicing and pickup coordination, and are counted once per order.
  • Revenue figures multiply your average price by the whole number of cakes; they do not subtract ingredient cost, fees or taxes.
  • Annual revenue assumes the same weekly capacity in every working week, with no seasonal peaks or slow months.

Frequently asked questions

Why does the planner round the number of cakes down?

Half a cake is not an order you can take. Rounding down keeps the estimate on the safe side, and the leftover hours simply become extra buffer.

How do I raise my capacity without working more hours?

Cut the admin minutes per order first. A structured intake form, saved quote templates and a clear pickup process usually cost less than a second oven. Then look at menu limits so the hours per cake come down.

Should I include baking time when the oven is running unattended?

Only count time you are actually working. If you can decorate one cake while another layer bakes, enter the active minutes, not the full bake time.
