Taking cake orders through Instagram DMs, texts and phone calls feels free, but it is not. Each order turns into a thread of questions about size, flavor, allergies, colors, pickup time and reference photos, spread over several days. Multiply that by every order in a month and it becomes a part-time job, before counting the cake that had to be remade because a detail slipped through.

This calculator turns those minutes into hours and dollars. Enter how many orders you take, how long the back-and-forth takes today, how long reviewing a complete intake form would take instead, and what your time is worth. Then add the fixes or remakes you believe a complete form would have prevented, at your own cost per fix. Nothing here assumes a specific improvement; every gain comes from numbers you enter, and the result does not subtract the cost of any software you might use.

  1. Count your custom orders in a typical month and estimate the minutes each one takes in messages, calls and clarifications today.
  2. Estimate the minutes a complete intake form would take to review, quote and confirm, and enter the hourly value of your time.
  3. Add the number of fixes or remakes per month you believe a complete form would prevent, with the average cost of one, then read the monthly and annual savings.

What the math assumes

  • Time is valued at the hourly figure you enter; the result does not subtract any subscription cost for a form tool, so deduct that yourself for a net figure.
  • Every order is assumed to take the same number of minutes, today and with a form; real orders vary widely.
  • Avoided fixes are your own estimate; the calculator does not assume a form prevents any particular share of mistakes.
  • Annual savings are the monthly figure multiplied by 12, with no seasonality.
  • If the form step takes longer than your current process, time savings are shown as zero rather than negative.

How do I estimate the minutes per order I spend today?

Pick three recent orders, scroll back through the messages, and count the replies you wrote plus the time on any calls. Average those and round up; most bakers underestimate this number.

Does this include the cost of a form tool?

No. The result is gross savings in time and avoided fixes. Subtract any monthly subscription you would pay to get your net figure.

What counts as a fix caused by a missed detail?

A remake, a rush correction, a refund or a discount given because the order lacked an allergen note, a color, a date or a size. Only count the ones a complete form would have caught.
